Job Summary:

The Accounts Payable Specialist I is responsible for accounts payable activities including review, preparation, and maintenance of all records and the processing of associated A/P payments. 

Responsibilities:

Green Accounts Payable

  • Process Green Coffee related invoices. This includes but is not limited to Green Coffee, Ocean Freight, Trucking, Customs, Storage, Demurrage, Detention, and Sampling
  • Answer inquiries from vendors, suppliers, and employees, and research discrepancies
  • Process invoices and check requests using ERP Financial system
  • Match invoices to POs in our financial system and investigate any invoice discrepancies with the PO
  • Assist with processing employee expense reimbursements
  • Assist in the processing of the corporate credit card and expense reimbursement program on the WellsOne platform
  • Filing as necessary

Administrative and Processing

  • Answer inquiries from vendors, suppliers, and employees, and research discrepancies
  • Process invoices and check requests using ERP Financial system
  • Match invoices to POs in our financial system and investigate any invoice discrepancies with the PO
  • Assist with processing employee expense reimbursements
  • Assist in the processing of the corporate credit card and expense reimbursement program on the WellsOne platform
  • Filing as necessary

Accounting and Finance

  • Assist with maintaining vendor W9 records to allow for proper 1099 issuance at year-end
  • Support deliverables for annual financial audits
  • Process weekly and on demand check runs attaching the proper documentation required for approval
  • Prepare and process check deposits
  • Assist in monthly and yearly close process
  • Other duties as assigned

Follow all company procedures and policies, especially with respect to Safety, Food Safety, and Good Manufacturing Practices (GMP).

Education and Experience

  • HS Degree or Equivalent - Required
  • College Degree in Accounting or similar field – Preferred
  • Minimum of 2 years accounts payable experience

Requirements

  • Must be proficient in MS Excel, Word, with strong computer skills
  • Requires strong communication skills, verbal and written
  • Strong Organizational Skills
  • Ability to work efficiently and productively in a multi-task environment independently with minimal supervision
  • High level of integrity and dependability with a strong sense of urgency and results oriented
  • Ability to maintain a high degree of confidentiality
  • Understanding of basic principles of finance, accounting, and bookkeeping
  • Excellent attention to detail and accuracy in work with the ability to prioritize and balance deadlines

Pay Rate: $27.00 - $30.00
